About this Policy

This policy explains when and why we collect data personal information, how we use it and how we keep it secure and your rights in relation to it.  We only collect use and store your personal data, as described in this Data Privacy Policy.

We reserve the right to amend this Data Privacy Policy from time to time without prior notice. You are advised to check our website www.freedomselfstorage.co.uk to view changes.

We will always comply with the General Data Protection Regulation (GDPR) and Privacy and Electronic Communications Regulations (PECR) when dealing with your personal data.

For the purposes of the GDPR, Freedom Self Storage Ltd will be the “controller” of all personal data we hold about you.

What information we collect and types of information

1. When you request information, a quotation or register

When you are requesting information and/or a quotation through the Freedom Self Storage website, by email, in store or over the telephone, we collect the following personal data from you; your title, first name, surname, telephone number, email address and postcode.

We will also ask, the type of customer you are (i.e., domestic or business customer), when you think you will need your storage to start from and an approximation of how long you want the storage for.  We ask the reason you need storage, for example moving home, decluttering, home improvements etc.; and what storage room size(s) you are obtaining a price for.

If you are a business and are requesting a storage price from us, we will also ask you the reason you need storage, for example, archiving, stock or as a distribution hub, as well as your relevant business sector and a website address for your business (if you have one).

2. When making a storage reservation and/or moving in

If you are reserving/booking a storage unit with Freedom Self Storage through the website, over the telephone or face to face in store, in addition to the information we have collected from you when obtaining information from us for a quotation/price (see above paragraph), we also ask for a full postal address and a valid photo proof of identification, i.e., Drivers Licence or Passport. 

We record the proof of identification reference number on the Customer Licence Agreement.  We also require you to sign a copy of the Customer Licence Agreement for our retention.  In addition to this personal information, we require you to record the maximum value of goods that you will be storing, the date that you will start your storage contact with Freedom Self Storage.

3. When moving out

When you move out from Freedom Self Storage, we may ask you your reason for leaving.  If we are holding a refundable deposit, we will also ask for your bank sort code and account number to process a direct payment of your refund.  Alternatively, you can provide us with a forwarding address for a cheque to be posted to.

Why we collect your information

In line with GDPR, the legal basis for processing personal data is based on the legitimate business interests of Freedom Self Storage who provide lockable, private storage spaces on a rental basis.  

The information collected is used to identify users of the facility and enable us to provide the most suitable products for our customers.  We also collect this information to enable us to prevent misuse of our storage facility (for criminal activity and fraud).  Should a customer become delinquent (failure to pay their invoices) and after our required reasonable time period, we are liable to retrieve the storage costs, in accordance with our Customer License Agreement and may pass the delinquent customer’s details to a Debt Recovery Agency.

Every effort has been taken to be transparent and explicit about the reasons for collecting personal data.

How we protect your personal data

  • We will never share your information except where disclosure is required or permitted by law (for example to government bodies and law enforcement agencies) or as described below.
  • We have implemented generally accepted standards of technology and operational security to protect personal data from loss, misuse, or unauthorised alteration or destruction.
  • Please note however that where you are transmitting information to us over the internet this can never be guaranteed to be 100% secure.
  • We will notify you promptly in the event of any breach of your personal data which might expose you to serious risk.

Personal information sharing with third parties

We will keep your information confidential except where disclosure is required or permitted by law (for example to government bodies and law enforcement agencies) or as described below.

Freedom Self Storage uses third parties to process your information on our behalf (for example, third party payment providers).  Our current Direct Debit/Payment service provider is GoCardless.  For more information on GoCardless please visit their online help centre at: help@gocardless.com

Freedom Self Storage may share your personal information with Debt Recovery Agencies, Auction Houses & Intermediaries for debt recovery action and the sale of abandoned goods.  Should a customer become delinquent (failure to pay their invoices) and after our required reasonable time period, we are liable to retrieve the storage costs, in accordance with our Customer License Agreement and may pass the delinquent customer’s contact details to a Debt Recovery Agency and/or possessions onto an Auction House.

In the event of a customer insurance claim, the insurance company which has provided the customer with the storage insurance for damage to their possessions will deal directly with the claimant. The claimant is responsible for providing all their necessary personal details with the insurer and any processing of your personal data by the insurer will be conducted in their capacity as an independent data controller.  We, therefore, recommend that you review their own privacy policy.

How long do we keep your information

We will keep your records on file for 7 years from the date of termination of your storage contract in line with financial record keeping regulations.

Your rights

You have rights under the GDPR:

  • to access your personal data
  • to be provided with information about how your personal data is processed.
  • to have your personal data corrected
  • to have your personal data erased in certain circumstances.
  • to object to or restrict how your personal data is processed
  • to have your personal data transferred to yourself or to another business in certain circumstances.
